IVS can setup a secure FTP site for
Sarasota County to upload mail ballot voter data with user name, password,
and encryption. Our entire Local Area Network (LAN) sits behind a
SonicWall firewall. Individual internal IP addresses are private and hidden
from outside access via Network Address Translation (NAT) on the firewall.
Access to our ftp server is restricted to clients with private password
protected accounts. The ftp server resides behind our firewall and access
to this server is restricted to key personnel. For additional security,
files may be encrypted prior to transfer or sent over a secure FTPS
(FTP / SSL) connection. Various other encryption methods are available
and may be used at our client’s request. Each LAN workstation and server
is individually monitored by Computer Associates eTrust Threat Management
Agent. Virus signatures are regularly updated via automatic scheduled
download. Inbound e-mail traffic is scanned by Anti-virus and anti-spamming
services prior to transmittal to our server.
Damaged / spoiled forms are normally destroyed by shredding
at our facility. Secure shred boxed are location in print areas and all sensitive damaged,
spoiled, test, or misprinted documents are discarded in these shred boxes. All County ballot
printing waste will be housed in a locked receptacle and delivered to the County office for
approved disposal upon completion.
A security system is installed and operational at IVS’ facility
in Fresno. Cameras monitor points of entry, operations, and storage. Only permanent IVS staff
has key access into the facility. All IVS’ personnel have ID badges that must be worn at all
times. All visitors must check in at the front and sign a visitor log. Each visitor is given
a badge that must be worn and visible at all times. Visitors must be pre-approved by authorized
personnel in order to visit our secured mail processing area.
A detailed Chain of Custody Report is maintained documenting custody
of ballots from the time ballots are manufactured, received, stored, inserted, prepared and then
presented as mail ballot packets to the United States Postal Service.
